This notice explains how we collect and use personal data during our recruitment process.

Who we are

We are Tripledot Studios, a group of gaming companies operating internationally. The company running the recruitment process acts as the data controller.

What data we collect

During recruitment, we may collect and process personal information such as:

  • contact details (name, email address, phone number)

  • CV information including employment and education history

  • interview notes, assessments, and feedback from our recruitment team

  • information you share during interviews, which may be recorded or transcribed

  • references and background check results (where applicable)

  • any other information you choose to provide as part of your application.

 

Information such as your name, contact details, work history, and education is necessary for us to consider your application. Providing extra information (such as a photo) is voluntary.

 

How we use your data

We use your personal information to:

  • review your application and assess your suitability for current and future roles 

  • manage and improve our recruitment process

  • communicate with you throughout the recruitment process

  • meet legal and compliance obligations

  • if necessary, defend against or pursue potential legal claims.

 

All recruitment decisions are made by people. Automated or AI-assisted tools are used only to support note-taking and administrative tasks, not to make decisions about your application.

 

Recording and transcription

We use AI assisted note taking to produce accurate interview notes and support a fair and consistent recruitment process. We will tell you in advance when this is used. The tool does not make automated decisions about your application. We do not permit candidate data to be used to train AI models. If you have concerns or wish to object to recording or transcription, please let us know before the interview and we will discuss an alternative note taking approach.

Legal basis for processing (GDPR)

Where GDPR applies, we process your personal information based on:

  • our legal obligations under employment and data protection laws

  • steps taken at your request before entering into a contract

  • our legitimate interests in running an effective and fair recruitment process, including verifying your qualifications and determining terms of potential cooperation

  • your consent, where you have agreed to participate in future recruitment processes or where you have provided optional information

  • our legitimate interests in establishing or defending legal claims.

 

Who we share your information with

We may share your information with companies within our corporate group and trusted third-party service providers that support our recruitment systems, such as applicant tracking system providers, interview and assessment platforms (including AI-assisted tools), IT service providers. These providers are required to protect your data and process it only on our instructions.

We do not sell candidate personal data.

 

International transfers

We are part of an international group that operates globally. In justified cases, we may transfer your personal information to countries outside the European Economic Area (EEA). When this happens, we ensure adequate protection through standard contractual clauses approved by the European Commission, or by transferring data only to countries covered by an adequacy decision issued by the European Commission.

 

If you are applying from the United States, your information may be transferred to our offices or service providers in other countries, including within the EEA, in accordance with applicable US data protection laws.

 

How long we keep your data

We retain your information for 24 months after you begin the recruitment process with us. We may extend this period if necessary to establish, exercise, or defend legal claims. After this period, we will retain data only as required by law

 

Your rights under GDPR/ UK GDPR

If you are in the European Economic Area or the UK, you have the right to:

  • access your personal information and obtain a copy of it

  • correct inaccurate or incomplete information

  • request deletion of your information

  • request restriction of certain processing activities

  • receive your information in a portable format and transmit it to another organization

  • object to processing based on legitimate interests

  • withdraw your consent at any time (without affecting the lawfulness of processing before withdrawal)

  • lodge a complaint with your local data protection authority.

 

Your California Privacy Rights (CCPA / CPRA)

If you are a California resident, you have specific rights regarding your personal information, including the right to:

  • Know what personal information we collect, use, disclose, and sell or share 

  • Access your personal information 

  • Delete your personal information, subject to certain exceptions 

  • Correct inaccurate personal information 

  • Opt out of the sale or sharing of your personal information for cross-context behavioral advertising (note: we do not sell or share candidate personal information) 

  • Limit the use and disclosure of sensitive personal information (where applicable).

 

We will not discriminate against you for exercising your privacy rights. This means we will not deny you employment because you exercised your rights.

 

Response timing: We will respond to verified requests within 45 days of receipt (or notify you if we need more time, up to a maximum of 90 days total).

 

Your rights in other US states

If you reside in Colorado, Connecticut, Utah, Virginia, or other states with comprehensive privacy laws, you may have additional rights similar to those described above, including rights to access, delete, correct, and opt out of targeted advertising or sales.
